Make a financial estimate with a range

A range is often more honest than a precise figure when the price or timing is still uncertain.

Separate known amounts from uncertain ones

Start a financial estimate by listing what is already quoted and what remains variable. Delivery, materials, travel and usage-based charges may each have different uncertainty. Give each uncertain component a plausible low and high figure, using actual information where available rather than arbitrary optimism.

A range should describe uncertainty that matters to the decision. It does not need dozens of scenarios. Often a lower, central and higher estimate is enough to reveal whether a plan works comfortably or only under favourable conditions.

Build an example from components

Imagine a small move has a fixed $200 vehicle quote, fuel estimated at $40 to $60 and packing supplies at $20 to $35. The total range is $260 to $295. A central estimate using $50 fuel and $25 supplies is $275. None of these amounts includes an unlisted deposit or another service.

If you have $280 reserved, the central estimate fits but the upper figure leaves a $15 gap. That gap is a useful prompt to reduce uncertainty or reserve more money. Calling the move a $275 job without the range would hide that the available cash is close to the plausible upper cost.

Narrow the range as information improves

A confirmed quote can replace an estimate. Record its expiry date and what it includes, because a firm price for one component does not settle the others. When several costs can rise together, do not assume that a low figure in one category will always offset a high figure elsewhere.

Decide how to handle the upper figure

Decide what happens if the higher estimate occurs before committing. That may mean postponing an optional part, choosing a cheaper service or increasing the reserve. After the expense is complete, compare the actual total with the range. This helps improve the next estimate without pretending that the original uncertainty could have been eliminated entirely. Label whether the upper estimate is a plausible scenario or a contractual maximum; those are very different levels of assurance.
